What counts as an active club member? +
A probationary or full club member counts towards the active-member limit. Guests and visitors are covered by a separate stored-guest limit on every plan.
Does the stored-guest capacity reset each month? +
No. The guest figure is the number of guest or visitor records your club can store on that plan; it is not a monthly allowance. If your club is approaching the limit, contact us so we can agree the right next step.
What is included in Compliance Essentials? +
Compliance Essentials provides a membership application form, a basic membership lifecycle, and compliance recordkeeping for up to 5 active members and 25 guests or visitors, one club staff account, training materials, and support. Custom membership forms, configurable membership plans, bookings, PoS, membership billing, vouchers, and communications are not included.
Which operational features are excluded from Starter? +
Starter includes up to three membership plans and basic bookings, but it does not include booking self-service, point of sale, membership billing, vouchers, or communications. Standard and above include those features.
How does annual billing work? +
Annual plans are billed annually and cost 20% less than paying monthly for 12 months. The discounted annual amount is charged upfront and covers the full 12-month term.
How do plan changes affect billing? +
Upgrades—including increasing plan capacity or switching from monthly to annual billing—take effect immediately and are prorated. Downgrades, including reducing capacity or switching from annual to monthly billing, are scheduled to take effect at the next renewal.
What happens to our data if we downgrade? +
Downgrading does not delete your club’s data. It is retained for as long as the club account remains active, although some data or functionality may be unavailable on the lower plan. Upgrading again restores access to data that was set up previously but is not available on the lower plan.
Are there payment-processing fees? +
Stripe charges its standard processing fees when your club chooses to take payments through Firearms Records. Firearms Records does not add a transaction surcharge.
What does the 30-day trial include? +
The free trial gives your club 30 days to explore Firearms Records with the features and capacity of the Standard plan. No credit card is required, and there is no obligation to continue. If your club needs more time to complete its evaluation, get in touch to discuss an extension.
Are support and data migration extra? +
No. Support and data migration are included across every plan.
Do shooters have to pay? +
No. A shooter’s personal Firearms Records account is free. Club membership is separate, and the club pays for its selected software plan.
What happens if our club outgrows a plan? +
The limits describe the intended capacity of each plan. Contact us before you exceed one and we will help you move to the appropriate standard plan or tailor a custom plan. There are no automatic or hidden overage charges.
Can we cancel, and are fees refundable? +
You can schedule cancellation so the subscription does not renew. Fees already paid are non-refundable except where required by law or expressly agreed, and cancellation takes effect at the end of the current paid term.
Can you help clubs running charity-related shoots? +
Yes—wherever we reasonably can. Tell us about the charity shoot or fundraising activity you are planning, and we will work with you to explore how Firearms Records can support it.
