Membership management for shooting clubs

Manage every stage of club membership in one connected system

From onboarding and probation through renewal, suspension, and cessation, Firearms Records keeps membership status, legal shooting basis, attendance, forms, verification, billing, bookings, and compliance attached to one continuing record.

Membership governance

Helps clubs apply and evidence their membership controls

Keep the status, evidence, and staff decisions behind each membership relationship visible, connected, and ready to review.

A governed lifecycle from day one

Compliance Essentials includes a basic membership lifecycle without configurable plans or tiers, giving every club a structured starting point alongside its compliance records.

Probation with staff judgement

Apply probationary periods by default, record a valid exemption where appropriate, and review attendance before staff manually transition someone to full membership.

The right legal basis for shooting

Keep the relevant basis—such as probationary member, full member, guest day, or FAC-holder visitor—automatically aligned with the person’s current relationship and attendance.

Forms and declarations together

Acquire and store the forms and declarations needed for club membership alongside the record and lifecycle they support.

Verified profile changes

Let individuals maintain shared details while requiring staff to record why identity, address, or certificate data is changed and attest that relevant documentation was reviewed.

A complete decision history

Promotion, suspension, reinstatement, cessation, and other membership changes remain available through detailed auditing records.

Applications, plans and billing

Membership applications and plans built around your club

Define how people apply, then configure the commercial side of membership without separating it from the people, status changes, and operational controls it supports.

Membership application forms

Every plan includes the form needed for membership approval. Paid plans let you define a custom membership form around the questions and details that matter to your club. Each submission is documented against the applicant’s profile for authorised personnel to review and approve.

Configurable plans and tiers

Set the membership routes, billing periods, prices, and lifecycle rules that reflect how your club operates.

Club-controlled self-service

Decide whether self-service billing is available and retain control over how members purchase and renew their plan.

One-off or recurring discounts

Apply a discount once at purchase or carry it into each subsequent renewal, depending on the offer the club wants to make.

Joint and family memberships

Link multiple people seamlessly to one payer, apply the relevant included-person limits, and optionally charge for additional seats.

Revenue and membership analytics

View and export membership numbers, monthly recurring revenue (MRR), annual recurring revenue (ARR), and other key club metrics.

Connected controls

Membership status does real work elsewhere

The current record supplies the right context to bookings, attendance, reporting, and compliance workflows instead of leaving staff to reconcile disconnected systems.

  • Suspending a membership prevents further self-service lane bookings; existing future bookings remain visible with a clear staff warning.
  • The relevant legal shooting basis follows the membership lifecycle and attendance context automatically.
  • Profile sharing and synchronisation reduce repeated entry while club attestation protects sensitive identity, address, and certificate changes.
  • Membership data can be analysed, exported, and carried into police-notification and record-retention workflows.

Is membership lifecycle management included in Compliance Essentials?

Yes. Compliance Essentials includes a basic membership lifecycle alongside its compliance records. Configurable membership plans, custom tiers, membership billing, and the wider connected operational features are available through paid plans as shown on the pricing page.

How does probationary membership work?

Membership lifecycles apply a probationary period by default while allowing the club to record a valid exemption where appropriate. Attendance history is easy to review, but progression remains a manual staff decision so the club can confirm its criteria have been met.

What happens when a membership is suspended?

The person can no longer make self-service lane bookings. Existing future bookings remain visible to staff with a clear warning, and the suspension and any later reinstatement remain available in the audit history.

Can clubs verify changes to shared profile information?

Yes. Individuals can complete and maintain relevant profile information, while club staff changing identity, address, or certificate details must record why the change is being made and attest that the relevant documentation was reviewed.

Can the club create its own membership application form?

Every plan includes a membership application form because an application is required before membership approval. Paid plans let the club define a custom membership form around the questions and details it needs. In either case, the completed application is documented against the applicant’s profile so authorised personnel can review and approve it later.

Can one person pay for a joint or family membership?

Yes. One payer can be linked to multiple people while each person retains their own record. Plans can apply included-person limits and optionally charge for additional seats when more people are attached.

Can existing member records be imported?

Yes. Clubs can use the self-service CSV route for straightforward member data, while more complex exports can be assessed and processed through the supported migration route.

Can membership discounts continue at renewal?

Yes. A club can configure a discount to apply once at the initial purchase or recur at each subsequent renewal.
